This policy explains what personal information The LegalVA Hub collects, why we collect it, who we share it with, and the choices you have. It covers our website, forms, certification program, graduate directory and introduction service.

Who we are

The LegalVA Hub is a professional training and certification institution for Legal Virtual Assistants, operated from Kenya. You can reach us at hello@thelegalvahub.com.

Information we collect

• Introduction requests (attorneys and firms): name, email, firm, practice area, start date, a description of your support needs, and how you heard about us.
• Free guide and updates: your name, email, and whether you want cohort announcements.
• Applications and enrollment (when a cohort is open): name, email, country of residence, professional background, and the information needed to process admission and payment.
• Graduates: profile information published in the directory with your consent, such as name, photo, professional background, qualifications, practice area, credential details and availability.
• Messages: emails, WhatsApp and LinkedIn messages you send us.
• Technical data: basic information such as IP address and browser type, which our website host records automatically.

How we use your information

• Respond to your inquiries and support requests.
• Review introduction requests and facilitate introductions.
• Send the free guide and, if you opted in, cohort announcements.
• Process applications and enrollment, and issue and verify credentials.
• Run, secure and improve our website, programs and services.
• Meet our legal obligations.

The graduate directory and introductions

Graduate profiles and credential verification pages are public. We publish a graduate’s profile only with their consent, and graduates may ask us to update or remove it at any time.

When a firm requests an introduction, we share the firm’s request details with the graduate being considered, and share the graduate’s profile details with the firm, as needed to make the introduction. Graduates are not contacted directly through the directory. After an introduction, the attorney and graduate manage their own arrangement and are each responsible for how they handle the other’s information.

Who we share information with

We do not sell your personal information. We share it only with:

• service providers that help us run the website, forms and email, namely Spaceship (website hosting), Web3Forms (form processing) and Spacemail (email);
• the people involved in an introduction, as described above;
• authorities, where the law requires it;
• anyone else, with your consent.

International processing

We operate from Kenya, and our attorneys, graduates and providers are in many countries. Your information may be processed outside your own country. We take reasonable steps to protect it wherever it is handled.

How long we keep it

We keep information only as long as we need it for the purpose it was collected. Introduction requests and unsuccessful applications are kept for 3 months. Records for admitted students and graduates are kept longer, as needed to run the program, issue and verify credentials, and meet accounting and tax obligations. Directory profiles stay until the graduate asks for removal. Verification records are kept while the credential is valid.

Security

We use reasonable technical and organizational measures to protect personal information from unauthorized access, alteration, disclosure or destruction. No online system is completely secure, so we cannot guarantee absolute security.

Your rights and choices

Depending on where you live, you may have rights under laws such as Kenya’s Data Protection Act, the GDPR or UK GDPR, or US state privacy laws. These can include the right to access, correct or delete your information, to object to or restrict its use, and to withdraw consent. Children

Our services are for adults. We do not knowingly collect information from anyone under 18.
